Billing
Main menu
Below is the main menu of the Billing Module. Let's go
over what each button does.
Top Tab sections
- Charge screen- This simply changes to the charge
screen for the invoice number captioned below the tab.
- Payment screen- This simply changes to the payment
entry screen so you can post payments. As with the Charge screen the
invoice you come to is the number listed below the Charges tab.
- Admin screen- This changes to administrator's
layout AFTER an additional password is entered. This layout allows the
administrator to do just about anything to an invoice. A password is
not asked if if the person logged into the computer has administrator
privleges!
- Age Accounts- This automated function finds all
outstanding invoices, adds a finance charge to those assigned to
patients (if you selected this) and determines which insurance claims
to be resubmit based on YOUR preset limits (way cool!).
- Review Screen- This takes you to a special screen
that allows you to review invoices and then decide to go to Charges
or Payments.
Invoice Functions
- Find to Add Payment first presents you with a
special find dialog box and then changes to the payment screen to
review
the invoice!
- Find to Add Charges presents you with a
special find dialog box and then changes to the Charges screen to add
charges
if allowed!
Batch Functions
- Monthly statements are sent out each month after
the accounts have been aged and you have reviewed all claims.
These special statements show patients only what THEY owe, not any
other invoices which may still have insurance balances! You can read

below, in the Patient
Statement section
- Batch Statements prints all patient statements,
that you have flagged, in a “batch”.
- Batch Paper Claims prints paper claims for all
invoices
assigned to an insurance that have been flagged for printing and not
electronic.
This
“flagging” occurs manually and at pre-programmed intervals of your
design! You can read more about this in the Paper Claims
section.
- Redo Paper Batch
gives you the opportunity to recreate
a previous dates batch of claims. You must enter the entire date
including the year.
Reports Functions
Detailed information is available in the Report Functions section.
- Review Date on screen finds all invoices that
had charges posted for you to review on screen.
- Day Sheet prints a complete daily report of all
transactions with totals and sub-totals.
- Charges only report prints just the charges
posted for any date today or before. The report is date stamped
with the printing date. You can select an Office Doctor or Examiner or both!
- Payments only report prints just the payments
posted for any date today or less, also date stamped!
- Special Procedure helps you create a list of
procedure performed based on many criteria, such as age, sex, diagnosis
and/or procedure combinations.
- Deposit Slips prints a record of all received
cash and checks for a date that can be used as a deposit slip.
- Custom Invoice List gives you the ability to find
a specific subset of invoice based on your specific requests. Click here

- Print Action Dated prints a list of those
invoices which have been date stamped for action by today. If a payment
was promised by today in order to prevent collection, then you would
give the invoice
the appropriate Action Date (This field appears on Payments and
Admin screens in the lower left section). The first person
to open PracticeMaker each day (assuming that everyone else had quit
the night before) is given an opportunity to print a list of these
invoices!
